Job Description
Dear Candidate ,
We are looking for The Service Coordinator who will manage customer relationships by coordinating service requests, quotations for spare parts and Annual Maintenance Contracts (AMCs), and handling customer interactions through IVR systems. The ideal candidate will have strong CRM knowledge, excellent communication skills, and a keen eye for detail to ensure smooth service operations and enhanced customer satisfaction.
Key Responsibilities
1. Quotations for Spare Parts and Services including AMCs
Receive and understand customer requests for spare parts and service requirements.
Collaborate with technical and procurement teams to assess costs, availability, and lead times.
Prepare accurate, professional quotations outlining pricing, warranty, delivery timelines, installation, and servicing charges where applicable.
Follow up with customers to obtain approvals or feedback on quotations.
Coordinate with sales and service teams to ensure smooth execution post-approval.
Maintain and update a database of commonly requested spare parts and services for quick processing.
2. Handling IVR Calls
Manage incoming Interactive Voice Response (IVR) calls, ensuring customers are routed to the appropriate departments efficiently.
Configure and optimize the IVR system to handle various customer needs such as complaints, inquiries, and service requests.
Monitor IVR call logs to confirm all calls are addressed and followed up promptly.
Train customer support or reception teams to manage basic IVR queries effectively.
Provide detailed call summaries and reports to relevant departments for further action.
Ensure prompt resolution of missed calls or unresolved queries from the IVR system.
Required Skills and Qualifications
B.E. or Diploma in Mechanical Engineering.
Familiarity with CRM software and tools.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Ability to collaborate with cross-functional teams including technical, procurement, sales, and customer service.
Basic understanding of mechanical parts and service processes is preferred.
Proactive approach to problem-solving and customer satisfaction.
Additional Information
This role requires good command over written and verbal communication in English.
The candidate should be detail-oriented and capable of managing multiple tasks simultaneously.
Prior experience in a service coordination or customer support role within the engineering sector will be an advantage.
